Job Overview

The Office Coordinator manages all aspects of the front desk corporate headquarters, including but not limited to directing incoming and outgoing calls, emails, and other correspondence, maintaining office supply inventory, and managing schedules for conference and community spaces.  He/She/They handles general office organization, communicates notifications from building management to local team members, and coordinates meetings and events.  This role reports to the Manager, Partner Operations.

 

The Office Coordinator is an energetic team player who is highly detail oriented with exceptional organizational skills and a positive, professional demeanor.  He/She/They has strong interpersonal skills, phenomenal customer service orientation, and a desire to be the face of the organization.  The Office Coordinator is comfortable multitasking, adjusts quickly to shifting priorities, and manages time efficiently.  The ability to develop and maintain strong working relationships across all levels of the organization and creative problem-solving skills are critical.  He/She/They has outstanding oral and written communication skills and can learn new software and systems quickly.

 

Essential Functions

Facilities Support

  • Manage the reception desk and welcome visitors to the office, thus acting as the face of the organization
  • Serve as the primary point of contact to staff and building management for all facilities and equipment-related requests
  • Maintain all office spaces and office equipment to ensure overall efficiency and order within the office space
  • Inventory all office supplies and snacks and purchase as needed to maintain supply area
  • Organize and track all team member storage units and keys as well as organize and maintain all office storage closets
  • Assist in coordinating all operational aspects of new hire orientation, including issuing building passes and conducting office tours, and add visitors to the building security list
  • Ensure prompt mailing of time-sensitive documents and packages, set up users in Shorelight’s FedEx accounts, and sort and distribute incoming mail, packages, and faxes to team members

 

Meeting & Event Planning

  • Order and set up catering for team meetings and events
  • Reserve rooms for team member events
  • Assist with promoting company culture and special event initiatives within the office, including decorating, research, supply ordering, event planning, set up, and execution
  • Contribute to ongoing group activities, processes, and special projects as needed.

 

Minimum Qualifications

  • 1+ years of office management and event planning experience
  • Excellent telephone conduct and a professional demeanor
  • Demonstrated experience with Microsoft Office Suite
  • Eligibility to work in the United States without sponsorship

 

Preferred Qualifications

  • Bachelor’s degree
  • Experience managing projects end to end
