Job Overview

The Academic Coordinator provides support for the Auburn Global academic team. Under the direction of academic leadership, the Academic Coordinator drives academic protocols and implementation of academic policies along with tracking key performance indicators for student success data.  This role supports students with curricular requirements for their intended majors as well as utilization of academic support services on campus. The Academic Coordinator supports Auburn Global and University staff to provide students with a smooth transition to their degree program.  This role is responsible for accurate record keeping and supports academic leadership in scheduling, teaching, and relationship building with Auburn Global. This position reports to the Managing Director with dotted line reporting to the Academic Director.

 

The Academic Coordinator will work with students one on one and in small groups to share academic and curricular information so excellent organizational skills, strong attention to detail, and outstanding interpersonal skills with cultural sensitivity toward students and staff from diverse backgrounds is critical.  He/she/they is an energetic team player who thrives in a fast-paced environment and has excellent customer service skills.  Strong problem-solving and decision-making abilities as well as the ability to work in a diverse environment that requires cross-cultural awareness and understanding is essential.

 

Essential Functions

Academic Data Management & Integrity

  • Coordinate the collection of data and report on Academic KPI’s
  • Develop and maintain cohort and student academic history and academic performance tracking
  • Maintain student academic records and statistics, including progression statistics, FERPA release forms, workshop attendance, and notes from faculty

 

Academic Services

  • Register students in courses within the student information system
  • Develop and present workshops in partnership with Student Services
  • Assist in the preparation and delivery of academic overview session at student orientation

 

Relationship Management

  • Function as academic liaison to the student services team, providing trainings, and serving as the SME (Subject Matter Expert) as required
  • Coordinate the academic support services for Auburn Global students in partnership with the university
  • Work closely with the university advisors to ensure a coordinated advising and registration process as students’ progress
  • Participate in committee meetings with stakeholders across the university, including faculty and staff

Minimum Qualifications

  • Bachelor’s Degree
  • 1+ years working experience in higher education or as administrative staff in a registrar’s office, academic, or related department 
  • High level of proficiency in MS Excel and MS Access
  • Eligibility to work in and travel freely to and from the United States without sponsorship

 

Preferred Qualifications

  • Master’s Degree, preferably in a related field
  • Proficiency with industry standard software and registration programs: Banner, PeopleSoft, Astra, (or other)
  • Experience scheduling courses, classrooms, and faculty 
  • Experience with Salesforce or equivalent CRM at the data entry and administrative level
  • Experience working successfully with non-native English speakers

Job Overview

The Accommodations Coordinator works closely with the student services team to acquire accommodations, make off-campus housing assignments, manage meal planning, and manage accommodations for students enrolled in the International Accelerator Program.  The Accommodations Coordinator organizes key elements of program housing, facilitates assignments for incoming students, and maintains operations and high-quality management in housing.  He/She/They respond to a variety of student needs in off-campus program housing so being physically present in housing facility and the ability to work non-traditional business hours in an on-duty/on-call capacity is critical.  This role reports to the Student Services Director.

 

The Accommodations Coordinator is an energetic team player who demonstrates a strong commitment to the specialized program and has a dedicated focus on high-level customer service.  The Accommodations Coordinator manages accommodation services catered to international students so the ability to work in a diverse environment and exhibit cross-cultural competence and understanding is critical.  He/She/They is comfortable multitasking, adjusts quickly to shifting priorities, and manages time efficiently.  The Accommodations Coordinator has strong problem-solving skills, pays close attention to detail, and has outstanding oral and written communication.  Exceptional interpersonal skills with demonstrated tact, patience, sensitivity, and diplomacy, particularly with non-native English speakers, is essential.

 

Essential Functions

Housing Administration Management

  • Ensure housing assignments are complete and housing spaces are ready for student arrivals
  • Coordinate with vendors for furniture, housewares, linen packs, and other assignment needs
  • Oversee and track key distributions, including maintaining records for lockouts and lost key replacement as needed
  • Oversee biweekly health and safety inspections along with recording and tracking student-reported maintenance issues to ensure a timely response by the housing vendors
  • Provide administrative reports on facilities, resident interactions, and housing assignments as well as manage documentation for fines and other invoices
  • Maintain data of housing locations and keeping accurate records of available space, including emergency contact information
  • Maintain a current accurate record of all inventory data, student placement, maintenance records, bed availability dates, etc. to ensure contracted beds are at a maximum occupancy
  • Coordinate with Marketing to develop content regarding housing, including brochures, reports, forms, and other educational materials
  • Track and report on occupancy and housing availability based on student progression

 

 

Residence Life Management

  • Manage meal planning, including coordinating student orders with vendors for accurate delivery
  • Foster residential community clarifying community outcomes and crafting complimentary programmatic events that underscore diversity, inclusion, respect, and personal ownership within the community
  • Partner with student services team to execute residence engagement strategies
  • Support student learning of community conduct standards, facilitate apartment contract meetings, and serve as first-level contact in resolving roommate conflicts
  • Oversee the judicial process of residence students ranging from fines, behavioral contracts, and community service to eviction
  • Oversee residence advisor team in the enforcement of community standards
  • Train residence life staff on conflict resolution and student conduct policies and procedures
  • Liaise with student services team on at-risk students

 

Incident and Emergency Response

  • Manage on-duty phone line and being respond to emergencies in a timely manner
  • Work in conjunction with student services team and appropriate campus partners to provide and coordinate crisis response and support to students as well as to coordinate emergency/crisis response to the rest of the university
  • Serve as an official campus authority for the Clery Act and mandatory reporter for Title IX issues
  • Provide timely and accurate notification and reporting using provided platforms
  • Attend campus functions, student programs, and after-hours emergency response
  • Serve in on-duty capacity for a portion or all of holiday breaks when university offices are closed

 

Minimum Qualifications

  • Bachelor’s degree
  • 1-2 years supervisory experience
  • Experience managing accommodation services
  • Ability to work limited evenings and weekends

 

Preferred Qualifications

  • Resident life experience
  • Existing knowledge/familiarity with federal regulations (e.g., Clery Act)
  • Familiarity with Salesforce, Google Docs, and SmartSheet

The Managing Director (MD) develops and serves as the operational leader across programs for international students at Auburn University. Essential Functions Enrollment

Student Experience

Student Services Advisors (SSAs) help develop and support student service programs for international students. Reporting to the Student Services Director (SSD)/Student Services Manager (SSM), SSAs are responsible for collaborating with the SSD to support students’ academic engagement, social integration, and cross-cultural development in their new academic and social environments.

The SSA is an energetic team player who successfully executes support services catered to international students. The primary responsibility of the SSA is to deliver high-quality cocurricular and extracurricular support experiences for program students, as well as hands-on academic support, guidance, and mentoring. The SSA has excellent customer service skills and the ability to focus his or her attention on individual students as they are guided through the program. Essential Functions

Student Service

  • Guide, prepare, and motivate students to a successful undergraduate or graduate experience and degree completion
  • Deliver exceptional student services, beginning with pre-arrival processes, airport transfers, orientation programming, ongoing student services support, and student acculturation into the university providing a strong foundation for the student’s academic success
  • Mentor, train, and coach students to support their skill development in goal setting, strategic planning, cultural competency, problem solving, and interpersonal relationships, among other areas
  • Assist in the development, promotion, and implementation of programs to support student retention and socialization/acculturation; assist in the design and implementation of orientation programming

Data and Technology

  • Maintain accurate records and reporting for assigned cohort of students
  • Contribute to student services operations to ensure that systems and procedures are followed and technology is used to streamline systems and procedures; as relevant, assist in the creation of new processes
  • Assist with the coordination of student satisfaction surveys and associated analysis, with an eye toward improving the student experience

Job Overview

The Operations Coordinator, Student Accounts, provides overall administrative and operational support to the partnership. This individual interacts with the program’s staff, university’s staff, and students.  The role acts as a point of contact for all students’ account inquiries. He or she is customer service oriented and has strong written and oral communication skills with the ability to work in a diverse environment. The Operations Coordinator, Student Accounts, position reports to the Assistant Managing Director.

Essential Functions

Office Management

  • Oversee consistent delivery of high level of customer service for students, colleagues, and visitors, creating a welcoming office environment for all
  • Supervise reception desk workers, if applicable
  • Maintain organization of public office spaces, operation of office equipment, and overall efficiency of office operations
  • Serve as the primary contact to staff and building management for facilities-related requests
  • Purchase office supplies and maintain general upkeep of supply area
  • Coordinate scheduling of department and team meetings
  • Sort and distribute daily mail and packages to staff members
  • Contribute to ongoing group activities, processes, and special projects, as needed
  • Coordinate employee recognition and anniversary programs

Finance and Accounting Administrative Support

  • Serve as the campus point of contact for students and others on billing and payment issues
  • Process student payments into SalesForce, confirming enrollment data for each term and identifying accounts on hold
  • Initiate refunds, credit memos, and adjustments
  • Collaborate with Finance on all student-facing initiatives, such as collecting payments and updating monthly A/R aging file
  • Prepare and submit sponsor billing
  • Generate statement of fees for students on campus as requested
  • Set up vendor accounts and invoicing
  • Participate in annual PriceBook update and assist with yearly financial audit

HR Administrative Support

  • Partner with Human Resources to deliver and oversee onboarding for new team members
  • Ensure that each new team member completes all required new hire documentation
  • Manage full cycle recruiting and onboarding for temporary positions, including new hire paperwork and background checks
  • Collect and track paid time off requests

Minimum Qualifications

  • Bachelor’s degree in a business-related field
  • 1-3 years of experience in finance or accounting
  • Proficiency with Microsoft Office Suite, primarily Excel
  • Eligibility to work and travel in the United States without sponsorship

Preferred Qualifications

  • 1+ years of office management experience
  • Experience with CRM systems, Salesforce a plus
  • Experience working successfully with non-native English speakers

Job Overview

The Assistant Managing Director (AMD) reports to the Managing Director (MD) of Auburn Global and is responsible for providing strategic and ongoing leadership of Auburn Global

The successful candidate must be a skilled leader and manager who can assist in leading an innovative educational collaboration. The primary responsibility of this individual is to work closely with the MD to ensure the delivery of a high-quality experience for the program’s international students by providing specialized attention and guidance, as well as ensuring the smooth operation and fiscal stability of the program. Along with the MD, the AMD will be a visible campus leader and advocate for the IAP.

The AMD will lead and inspire, displaying a strong operational entrepreneurial spirit to start this new program. The individual in this role must be a strategic thinker with the capacity to see the big picture while also attending to details including personnel and budget. The AMD must be skilled at creating a team and will enthuse and galvanize colleagues around the institution’s mission, vision, and goals.

Essential Functions

Program Management and Development

  • Manage operations, including ensuring systems and procedures are established and followed to maintain accurate records and reporting on all aspects of the program
  • Oversee the outcomes of specific administrative departments as determined by the MD
  • Collaborate with the Academic Director on curricular and academic matters
  • In collaboration with the MD, sign and approve program documents and payroll
  • Develop and maintain dashboards and statistics regarding Auburn Global activities and programs; manage data to identify trends and opportunities
  • Lead special projects and initiatives, including familiarization tours, visits by recruitment teams and special guests, and cosponsored campus programs
  • Ensure that the program adheres to the policies and standards of the university and continuously improves the program

Student Services

  • Meet with students as needed to address their needs, enforce policies, and guide them to appropriate resources
  • Collaborate with the Student Services Director on student affairs and development
  • Manage student survey participation and feedback in partnership with student services support team
  • Ensure student experience is shared through social media outlets, program promotion, and other marketing efforts in coordination with Shorelight marketing team
  • Oversee program staff to ensure quality of student programs and services, including the coordination of pre-arrival activities, orientation, cultural/social programming, and weekly advisory meetings to ensure successful social and academic outcomes

People Management

  • Recruit, develop, and retain team members to ensure productivity and engagement
  • Engage in talent management activities such as goal setting, performance evaluations, stay interviews, development planning, and ongoing feedback to develop team members and achieve organization goals
  • Provide coaching, counseling, and corrective action (when necessary) to team members
  • Foster a culture that reflects Shorelight’s values

Minimum Qualifications

  • Bachelor’s degree
  • 5+ years’ experience in higher education management or management in a complex organization
  • Evidence of strong organizational and planning skills with the ability to multitask and attend to details required
  • Experience working with international students in an administrative or academic capacity
  • Understanding of student support services for international students
  • Record of profit and loss experience
  • Record of leadership delivering strategic, financial, and operational objectives
  • Demonstrated experience working successfully with a non-native English-speaking clientele
  • Experience working within an educational collaboration and/or a complex organization
  • Eligibility to work in and travel freely to and from the United States without sponsorship

Preferred Qualifications

  • Master’s degree with a background in business administration
  • International travel/study experience
