Job Overview

The Admissions Advisor assists with the admissions of international students for both Direct and International Accelerator Programs (IAP). Working within the Enrollment Management team, the Admissions Advisor possesses a high degree of self-direction, strong attention to detail, and excellent problem-solving skills. He/she/they demonstrates outstanding interpersonal skills and cultural sensitivity toward students and staff from a diverse range of backgrounds.

Essential Functions

Admissions Data Management & Integrity

  • Receive applications and documents from students/agents
  • Review applications, transcripts, and other documents required for international student admissions and evaluate academic and English credentials to determine admissibility to University programs; render decisions on student’s admissibility
  • Advise agents/students/internal team members on admissions requirements; provide support to enable completion of application
  • Input and maintain data into Shorelight’s and Partner University’s CRM/EM systems
  • Review daily reports to manage workflow and ensure processing of applications and offers are meeting required deadlines
  • Collect and verify I-20/financial documents; liaise with University PDSO to issue I-20
  • Prepare acceptance packet
  • Develop and run data reports for routine reporting to relevant stakeholders
  • Other duties as assigned

Administrative Support

  • Support the Academic and Student Services Directors by assisting with pre-arrival processes and documentation, including partner and student inquiries
  • Review and coordinate mail and documentation on a daily basis
  • Respond to e-mail and phone inquiries
  • Assist with webinars for future students
  • Process requests for information packets and prepare mailings to prospective students
  • Participate in staff meetings

Minimum Qualifications

  • Bachelor’s degree in higher education, international education, or related field
  • Knowledge of international student services within a higher education setting
  • Proven ability to establish and maintain positive working relationships with key stakeholders to facilitate and accomplish work goals 
  • Demonstrated ability to complete projects in a timely manner
  • Ability to think independently, thoroughly, and critically in fast-paced contexts
  • Ability to collaborate with stakeholders from local, national, and international constituencies
  • Superior interpersonal and communication skills, including excellent English verbal and writing skills and ability to communicate with people from a wide variety of cultures and linguistic backgrounds
  • Ability to foster collaboration and trust, work collegially, and inspire others to high levels of performance
  • Fluency in English

 Preferred Qualifications

  • 2+ years Admissions experience, including working knowledge of university admissions processes
  • Expertise with Microsoft Office programs
  • Experience with Banner and/or Salesforce
  • Strong working knowledge of one or more foreign languages
  • Ability to take initiative, perform multiple assignments, and establish short- and long-term priorities

Job Overview

The Student Success Coordinator provides support to international students enrolling in first year academic programs in partnership with US universities and handles administrative tasks to support the campus-based teams. This 6 month contract position will work remotely to connect with students during the months prior to arrival to campus, preparing them for life in the US and enrollment at their university. The Student Success Coordinator will be a self-starter who enjoys working independently to contribute to team goals. The Student Success Coordinator will have excellent customer service skills with the ability to focus attention on individual students and identify their unique needs. The SSC also possesses the interpersonal, intercultural, organizational, and leadership skills necessary to work closely and lead projects with various stakeholders around the world, including students, program staff, and interdepartmental colleagues.

 

Essential Functions

Operations and Data Management

  • Contribute to the design and delivery of student services that provide a strong foundation for optimal student experience in collaboration with campus team
  • Ensure pre-arrival checklist items are completed, including placement testing and online orientation modules
  • Promote specific ancillary products and services that facilitate smooth arrival and integration into US life (travel agent services, sim cards, bank accounts, dorm essentials, etc.)
  • Collect student travel itineraries and track arrival status
  • Assist with the coordination of student satisfaction surveys and associated analysis, with an eye toward improving the student experience during pre-arrival and arrival stages
  • Ensure that systems and procedures are followed and technology is used to streamline processes
  • Maintain accurate and up-to-date student records with a focus on data integrity
  • Manage multiple to-do lists with projects in collaboration with key stakeholders, with special emphasis on meeting deadlines and hitting targets
  • Collaborate with technology team to provide support to students on virtual platforms 
  • Contribute to creation and implementation of new projects as the need arises 

Student Services & Relationship Management

  • Deliver exceptional student customer service and follow-up during the pre-arrival phase of the student journey
  • Manage communication to students about program preparation, changes to schedule, and technology updates
  • Guide, prepare, and motivate students during their pre-arrival checklist process
  • Impact student conversion and student success by actively monitoring student engagement and providing feedback to relevant teams
  • Lead special projects in collaboration with university partners
  • Provide language support as necessary
  • Provide other student services as needed

Minimum Requirements

  • Bilingual Hindi and English speaker, with professional proficiency in English required (preferably IELTS 7.0, TOEFL 90+)
  • Bachelor’s degree 
  • 1-3 years of full-time work experience
  • Ability to work flexible hours across multiple time zones
  • Strong interpersonal and intercultural skills to work with students, parents, program staff, and faculty

  • Ensure student payments are processed into PaySimple and Flywire
  • Evaluate student accounts for refund eligibility and work with students directly to obtain accurate and complete refund information
  • Ensure student refunds are initiated in a timely manner
  • Collaborate with partnership teams on all student-facing financial initiatives
  • Monitor accounts receivable balances and conduct regularly scheduled meetings with campus teams for analysis and to confirm holds or equivalents are in place
  • Ensure that holds/registration prevention metrics are in order for all past due accounts
  • Collaborate with Director, Partner Operations – Financial Operations on scheduled payment collection campaigns
  • Prepare and submit sponsor billing
  • Ensure statement of fees for students on campus are generated accurately
  • Lead in confirmation of quarterly deposit revenue analysis and quarterly bad debt analysis
  • Monitor misdirected payments between Shorelight Partnerships and Universities and request transfer of funds when necessary
  • Liaise with stakeholders on collections, data accuracy, and monitoring discrepancies between student account balances in Salesforce and NetSuite

 

Administrative Support

  • Build and manage reporting for greater collections visibility and accountability at the campus level
  • Lead efforts to monitor data integrity by ensuring stakeholders have visibility into accounts receivable balances, refund processing status, and support the improvement of refund process
  • Prepare weekly accounts receivable analysis reports
  • Ensure finance inboxes are well monitored and all student queries related to refunds, student account balances, statement of fees, and private loans are addressed in a timely manner
  • Bridge the gap between stakeholders in finance and on campus teams to ensure efficient communication of needs and requirements of reporting are met

 

People Management

  • Recruit, develop, and retain team members to ensure productivity and engagement
  • Engage in talent management activities such as goal setting, performance evaluations, stay interviews, development planning, and ongoing feedback to develop team members and achieve organization goals
  • Provide coaching, counseling, and corrective action (when necessary) to team members
  • Foster a culture that reflects Shorelight’s values

 

Minimum Qualifications

  • Bachelor’s degree in a business-related field
  • 3+ years of experience in finance or accounting
  • 1+ years of experience managing people

  • Support the Financial Operations Manager in collaborating with partnership teams on all student-facing initiatives
  • Support the Financial Operations Manager in monitoring accounts receivable balances and conduct regularly scheduled meetings with campus teams for analysis and to confirm holds or equivalents are in place
  • Collaborate with Financial Operations Manager and Director, Partner Operations- Financial Operations on scheduled payment collection campaigns
  • Prepare and submit sponsor billing
  • Generate statement of fees for students on campus as requested
  • Assist in confirmation of quarterly deposit revenue analysis and quarterly bad debt analysis
  • Monitor misdirected payments between Shorelight Partnerships and Universities and request transfer of funds when necessary

 

Minimum Qualifications

  • Bachelor’s degree in a business-related field
  • 1+ years of experience in finance or accounting
  • Proficiency with Microsoft Office Suite, primarily Excel
  • Eligibility to work and travel in the United States without sponsorship

 

Preferred Qualifications

  • 1+ years of office management experience
  • Experience with Salesforce, NetSuite, or similar Customer Relationship Management (CRM) software
  • Experience working successfully with non-native English speakers
