Job Overview

The Managing Director (MD) develops and leads all aspects of first-year programs for international students enrolled in UOP International. The MD’s primary responsibility is to ensure a high-quality experience for all students. As the leader of the campus team, the MD builds the partnership, manages relationships with senior members of university and Shorelight staff, provides strategic and ongoing leadership, and oversees day-to-day operations.

The Managing Director is a skilled manager who can successfully lead an innovative educational venture. Essential Functions

 

Campus Fiscal Operations

  • Assume overall P&L responsibility, including budget management
  • Contribute to financial planning and analysis to support strategic plan
  • Lead new product development and optimization to support revenue growth and margin improvement

 

People Management

  • Recruit, develop, and retain team members to ensure productivity and engagement
  • Engage in talent management activities such as goal setting, performance evaluations, stay interviews, development planning, and ongoing feedback to develop team members and achieve organization goals
  • Provide coaching, counseling, and corrective action (when necessary) to team members
  • Foster a culture that reflects Shorelight’s values

Relationship Management

  • Liaise with key contacts at the university and Shorelight partners to set enrollment targets and oversee the matriculation/onboarding of new students initially and onward through the student lifecycle
  • Foster external relationships and partnerships to enhance the profile and success of the program
  • Represent the program internationally and domestically, including participation in marketing events and familiarization tours and through memberships and affiliations

Student Experience

 

  • Ensure that the program retains students and guides, prepares, and motivates them to degree completion
  • Develop the strategy and programs required to deliver exemplary and differentiated customer service
  • Ensure academic integrity and compliance
  • Ensure systems and procedures are established and followed to maintain accurate records and reporting on all aspects of the program
  • Analyze data and reports on the progress of the program and achievement of objectives

 

 

Minimum Qualifications

  • Bachelor’s degree
  • 5+ years’ experience in management with strong team motivational skills
  • Demonstrated P&L responsibility
  • Proven ability to recruit, lead, motivate, coach, develop, and retain top academic and/or administrative staff
  • Record of leadership delivering strategic, financial, and operational objectives
  • Exhibit a combination of insight, transparency, fairness, and commitment to the institution
  • Understanding of student support services for international students
  • Experience within higher education circles and academic leaders
  • Demonstrated exceptional interpersonal, communication, presentation, and negotiation skills

Job Overview

Student Success Manager (SSM) supports all aspects of student success for international students enrolled in UOP International programs and reports to a member of the Partnership leadership team. The main responsibility of this role is to carry out parts of a strategic plan that supports students’ academic engagement, social integration, and cross-cultural development in their new academic and social environments.

This skilled team player successfully implements support services catered to international students. The SSM is an entry-level manager role with an innovative approach to analysis, data-driven decision making, and problem solving. He/she/they understand the holistic overlay of the academic, social, and emotional needs in the student life-cycle. Having a hands-on approach to academic delivery, customer service, and business growth is essential to successful collaboration with internal and external stakeholders, university administrators, students, and parents.

Essential Functions
Student Success

  • Assist in developing programs that guide, prepare, and motivate students toward degree completion
  • Oversee the student success team in delivering key service components of the student experience, including student housing and dining, pre-arrival communication, arrival support services, orientation programming, general academic and ongoing student success support, and the overall student experience
  • Handle special student cases, including students experiencing significant personal and academic difficulties
  • Deliver exceptional student support, beginning with pre-arrival processes, airport transfers, orientation programming, ongoing student services support, and student acculturation into the university providing a strong foundation for the student’s academic success
  • Mentor, train, and coach students to support their skill development in goal setting, strategic planning, cultural competency, problem solving, and interpersonal relationships, among other areas
  • Assist in the development, promotion, and implementation of programs to support student retention and socialization/acculturation.
  • Teach or coach first-year transitional programming if applicable
  • Collaboratively help oversee advising approach and system to help meet program completion and retention metrics.

  • Contribute to student services operations to ensure that systems and procedures are followed, and technology is used to streamline systems and procedures; assist in the creation of new student services–related processes

Minimum Qualifications

  • Bachelor’s degree
  • 2+ years’ experience in higher education or student-facing equivalent
  • Experience working with international students or customers in an administrative or academic capacity
  • Proven customer service skills
  • Demonstrated empathy in managing culturally sensitive situations
  • IT literacy (e.g., student information system or database, or customer relationship management systems)
  • Ability to work evening and weekend hours as needed

Job Overview

The Assistant Academic Director assists in managing an International Accelerator Program (IAP) for international students. This program combines English language instruction and support with academic instruction and acculturation. Reporting to and assisting the Academic Director for the UOP International Partnership, the Assistant Academic Director works closely with university administrators, academic support staff, and faculty members to ensure the quality of this specialized academic program. He or she supports and guides program students by organizing effective student resources in areas of academic English, tutorials, and progression through the program.           

The Assistant Academic Director ensures the delivery of a high-quality academic experience for all students in the IAP. This individual possesses the interpersonal skills to work closely with a range of administrators, students, and faculty. The Assistant Academic Director is a strong team player who participates in both academic and student services initiatives, providing a high level of customer service to all stakeholders.

Essential Functions

Academic Program Support

  • Assist in managing all academic program logistics, including timetabling, resource preparation, and classroom allocation
  • Oversee and assist with day-to-day academic operations of the program, providing hands-on academic and acculturation student support
  • Manage academic operations (as per guidelines of the Academic Director), including ensuring established systems and procedures are followed, and accurate records and reports on the program are maintained
  • Work closely with the Student Services Director to support student services activities
  • Work with university academic departments to ensure appropriate scheduling of courses and assignment of instructional staff
  • Assist with maintaining academic program quality and standards of the university and its accrediting bodies, and ensure continuous evaluation and improvement of the program
  • Represent the program at academic events, during familiarization tours, and through memberships and affiliations, as appropriate
  • Adhere to university policies regarding academic integrity and related university academic policies
  • AAD may be requested to teach up to 3 hours of UOPI courses per semester

Student Progression and Retention

  • Monitor student retention processes and develop/promote policies for the program, utilizing Salesforce and other data management tools
  • Analyze data and report on the progress and satisfaction of the students’ achievement of objectives, including progression through the program and degree completion at the university

Relationship Management

  • Partner with the Academic Director and the Student Services Director to liaise with key offices at the university
  • Support the Academic Director in liaising with academic committees and other partners related to the matriculation and onboarding of new students initially, through UOP International, and into university degree programs

Minimum Qualifications

  • Master’s degree
  • 3+ years of experience in higher education, language school management, TEFL/TESOL, or related field
  • Experience working with international students
  • Demonstrated understanding of class management tools, including databases, Microsoft Office programs, course management systems, and forms of media to support an interactive and student-centered classroom instruction
  • Eligible to work in and travel freely to and from the United States without sponsorship

Travel to satellite/regional campuses in Sacramento and San Francisco required.


Essential Functions

Student Service

  • In partnership with Managing Director, Academic Director and Shorelight leadership, develop programs that guide, prepare, and motivate students toward degree completion
  • Manage all UOP International student services, including student housing and dining, pre-arrival communication, arrival support services such as airport transfers, orientation programming, ongoing student services support, events calendar, coordination with university cultural associations, coordination of a student ambassador program and peer advising infrastructure, progression, matriculation, and the overall student experience
  • Maximize student retention and progression through active student participation in the program’s events, holistic advising, and tutoring as well as encouraging engagement in university events and clubs/organizations to foster a sense of belonging
  • Support Managing Director in the rollout of new program initiatives

People Management

  • Supervise a team of Student Services Advisors (SSAs) and an Associate Student Services Director responsible for holistic advising, student customer service, and program execution with a clear focus on student retention
  • Recruit, guide, and develop academic and administrative staff including talent management activities such as goal setting, performance reviews, ongoing feedback, and development planning

Relationship Management

  • Liaise with and create mutually beneficial, scalable relationships with key contacts at the university, including the Managing Director, Academic Director, International Student Services, Campus Housing, Dining Services, Student Development & Enrollment Services, Office of Student Involvement, Office of the Registrar, and various other departments
  • Foster external relations and partnerships that continually enhance the reputation and success of UOP International
  • Liaise with partnership Academic staff regularly to ensure effective and efficient processes to support student success such as tutoring structures, advising structures, students of concern communication and protocols etc.

Data and Technology

Job Overview

The Academic Coordinator (AC) provides support for the UOP International academic team. The position reports to the Academic Director. Under the direction of academic leadership, the AC drives academic protocols and implementation of academic policies along with tracking key performance indicators for student success data.  The AC supports students with curricular requirements for their intended majors as well as utilization of academic support services on campus. In addition, the AC supports UOP International and University staff to provide students with a smooth transition to their degree program. Lastly, the Academic Coordinator is responsible for accurate record keeping, and supports academic leadership in scheduling, teaching, and relationship building with UOP International.

Essential Functions

Academic Data Management & Integrity

  • Coordinate the collection of data and report on Academic KPI’s
  • Develop and maintain cohort and student academic history and academic performance tracking
  • Maintain student academic records and statistics, including progression statistics, FERPA release forms, workshop attendance, and notes from faculty

Academic Services

  • Register students in courses within the student information system
  • Develop and present workshops in partnership with Student Services
  • Assist in the preparation and delivery of academic overview session at student orientation

Relationship Management

  • Function as academic liaison to the student services team, providing trainings, and serving as the SME (Subject Matter Expert) as required
  • Coordinate the academic support services for UOP International students in partnership with University
  • Coordinate meetings between Student Services Advisors and students who are struggling academically as needed, and serve as ancillary support for academics in such meetings as required
  • Work closely with the College advisors to ensure a coordinated advising and registration process as students’ progress
  • Participate in committee meetings with stakeholders across the University, including faculty and staff
  • Assist the Academic Leadership team as needed

Minimum Qualifications

  • Bachelor’s Degree, preferably in a related field
  • 1+ years working experience in higher education or as administrative staff in a registrar’s office, academic, or related department 
  • High level of proficiency in MS Excel and MS Access
  • Ability to work effectively with students one on one and in small groups to share academic and curricular information
  • Outstanding interpersonal skills and cultural sensitivity toward students and staff from diverse backgrounds 
  • Exemplary customer service skills and professionalism 
  • Excellent organizational skills and strong attention to detail

The primary responsibility of the SSA is to deliver high-quality co-curricular and extracurricular support experiences for program students, as well as hands-on academic support, guidance, and mentoring. The SSA has excellent customer service skills, and the ability to focus his/her attention on individual students as they are guided through the program. The SSA also possesses the interpersonal and intercultural skills necessary to work closely with students, parents, program staff, and university administration.

Essential Functions

Student Service

  • Guide, prepare and motivate students to a successful undergraduate or graduate experience and degree completion.
  • Deliver exceptional student services, beginning with pre-arrival processes, airport transfers, orientation programming, on-going student services support, and student acculturation into the university.
  • Contribute to the design and delivery of services that provide a strong foundation for the student’s academic success.
  • Provide mentorship, training, and coaching to support student skill development in areas including but not limited to goal setting, strategic planning, cultural competency, problem solving, and interpersonal relationships.
  • Assist in the development, promotion, and implementation of programs to support student retention and socialization/acculturation; assist in the design and implementation of orientation programming.
  • Teach or coach first year transitional programming as assigned.

Relationship Management

  • Support key relationships at the university and at the partnership, including Academic teams, International Student Services, Campus Housing, Dining Services, Student Development & Enrollment Services, Office of Student Involvement, Office of the Registrar, and various other departments.

 

Technology 

  • Maintain accurate records and reporting for assigned cohort of students.
  • Contribute to student services operations to ensure that systems and procedures are followed and technology is used to streamline systems and procedures; as relevant, assist in the creation of new processes.
  • Assist with the coordination of student satisfaction surveys and associated analysis, with an eye towards improving the student experience.

Minimum Qualifications

  • Bachelor’s degree
  • Experience planning and organizing events
  • Ability to thrive in a fast-paced environment, take initiative, and maintain a high energy level
  • Demonstrated flexibility and interpersonal communication skills
  • Problem-solving, decision-making, and creative-thinking abilities
  • Excellent organizational skills and strong attention to detail
  • Proven customer service skills
  • Ability to work evening and weekend hours as needed
  • Eligibility to work in and travel to and from the United States without sponsorship

Preferred Qualifications

  • Master’s degree
  • Proficiency in Mandarin strongly preferred
  • Experience in higher education advising, student services, or hospitality
  • Experience working with international students or customers in an administrative or academic capacity
  • Experience working successfully with non-native English speakers
  • Knowledge of Spanish, Arabic or Hindi

Job Overview

The Operations Coordinator provides overall administrative and operational support to UOP International. The Operations Coordinator is a true generalist, interacting with the entire staff and program student body. The Operations Coordinator reports to the Managing Director.

Essential Functions

Office Management

  • Welcome students and visitors to the office
  • Manage the reception desk and answer the telephone
  • Maintain all public spaces, office equipment, and overall efficiency and order within the office space
  • Serve as the primary contact to staff and building management for facilities-related requests
  • Purchase office supplies and maintain supply area
  • Coordinate department and team meetings
  • Sort and distribute daily mail and packages to staff members
  • Contribute to ongoing group activities, processes, and special projects, as needed
  • Coordinate employee recognition and anniversary programs

HR Administrative Support

  • Partner with Shorelight Human Resources department to set up and prepare for new team members and help provide initial onboarding training, including obtaining a computer, providing a tour of the office, and arranging for building access
  • Ensure that each new team member completes an I-9 Form and profile within HRIS system
  • Assist Shorelight Headquarters in managing onboarding checklists and gathering new-hire documentation
  • Partner with employees and managers to ensure timesheets are submitted and approved on time each week
  • Manage full cycle recruiting and onboarding for temporary positions, including new hire paperwork and background checks
  • Assist in partnership personal time-off recording 

Program Support

  • Support campus marketing with campus visit schedules, logistics, hiring, and programming
  • Support semester student orientation as assigned

Minimum Qualifications

  • Bachelor’s degree
  • Proficiency with Microsoft Office Suite
  • Excellent telephone manner
  • Impeccable attention to detail and exceptional organizational skills
  • Strong customer service orientation and written and oral communication skills
  • Ability to meet deadlines and manage multiple tasks
  • Ability to take initiative and manage projects in a fast-paced, dynamic environment
  • Ability to work in a diverse environment and to exhibit cross-cultural awareness and understanding
