Job Overview

Job Overview

The Director of Enrollment manages all campus admissions and marketing operations at UIC Global. He or she serves as the primary liaison with the university admissions team, the Office of International Programs, the university’s office of communications and marketing, and department-specific marketing stakeholders as needed. The Director of Enrollment supervises a team of admissions staff in the UIC Global office as well as Marketing staff. He/she must be a self-directed individual with a demonstrated history of effective leadership. Essential Functions

Management of Admissions Operations

  • Serve as primary advocate for Shorelight’s mission by working with field experts to improve and execute on core values of the Shorelight admissions team
  • In concert with university admissions operations, coordinate all aspects of the application flow for UIC Global applicants, with a keen eye to streamlining process in partnership with Admissions staff at the partnership
  • Monitor and uphold service agreements (turnaround time) for all applicant profiles, including graduate, sponsored, and I-20 transfer students
  • Ensure consistent quality of applications being delivered to university audience, including regular tracking, forecast, and analysis
  • Partner with admissions staff to oversee new application case escalation to the appropriate academic or faculty personnel
  • Support new program development, including admissions criteria, processes, and implementation
  • Lead bi-annual evaluation of Localized Entry Requirements (LERs), acceptable credentials, and application throughput with the goal of optimizing existing processes at the partnership level in partnership with admissions staff and HQ admissions team members.

Program Promotion

  • Support multi-brand strategy and execution within the Shorelight portfolio to drive enrollment growth
  • Work closely with recruitment to align marketing initiatives with regional strategies
  • Lead content strategy to meet market demand & drive enrollment growth
  • Oversee content creation for email campaigns, social media accounts and blog

Job Overview

The Enrollment Services Advisor leads and executes our pre-arrival conversion activities in the Europe, Middle East and Africa region.  Based remotely, the Enrollment Services Advisor works as part of a highly motivated professional team and is responsible for regional visa success and overall conversion and arrival of new students on campus.

This position works closely with recruiters, admission and marketing/D2C teams, and Shorelight’s partner campus teams to provide student-focused, optimal learning experiences and services that lead to student conversion.  Measures of success for this role include the ability to drive conversion from deposit to enrollment, high rate of pre-payment, high rate of visa issuance, and on-time arrival to campuses. A large proportion of this sales and service role is speaking with applicants, parents and agents via online chat platform, email, telephone daily.  The position directly reports to the Enrollment Services Manager, EMEA.

Key Responsibilities

The responsibilities of this position include:

  • I-20 and Visa Preparation
    • Collaborate closely with admissions, agents and recruitment for all confirmed students to ensure efficient completion of required documents to achieve I-20s for students
    • Provide a comprehensive visa preparation service to students and agents including regular presentations to agencies, sharing of tips and best practices, and mock interviews with students to achieve high visa issuance rates
    • Track and analyze visa appointments, embassy processing times and student interview feedback to continuously enhance and adapt visa preparation according to current trends and insights
  • Pre-Departure Process and Activity Management
    • Design, manage and facilitate an engaging and informative pre-departure concierge service for students, parents and agencies
    • Participate with the planning and implementation of pre-departure events (online and offline)
    • Ensure student’s financial obligations are met by facilitating payments of tuition and other associated fees before departure
    • Ensure agents/students and their families complete and submit pre-arrival forms and documentation to campuses, with a focus on the transportation form so campus teams can effectively manage the arrival process
    • Work with recruitment, students and agencies to ensure clarity on-time arrival of students to campus for orientation
    • Serve as the main point of contact for all sub-regional agents and students in the pre-arrival phase
  • Data Analysis and Reporting
    • Provide key partner’s VIP service, including customized reports, regular update of student progress, and in agent office visits
    • Analyze data in order to provide ongoing weekly updates, reports and forecasts to the ES Manager and Regional team for all students
    • Be the point of information and clarity on all conversion activities and student status
    • Maintain a database of respective sub-regional students to track their status and progression to enrollment
  • Stakeholder / Student Family Engagement and Management
    • Manage and maintain regional agent/student online enquiry platforms

Shorelight is seeking a qualified professional to lead the overall strategy, build-out and delivery of global operations of services provided by the Enrollment Services teams.  Under the direction of the Director of Enrollment Services, the Assistant Director of Enrollment Services (Assistant Director) is responsible for contributing to, and executing a strategic plan, that drives optimized conversion of students throughout the enrollment funnel through a high-touch concierge telesales model facilitated by a technology-enabled CRM solution.

The Assistant Director provides leadership and direction for the global enrollment services team; oversees the administration of quality customer-oriented services aligned with Shorelight; and directs, supervises and evaluates staff relative to areas of assignment. 

This cross-functional leadership role works collaboratively with regional Recruitment, Direct Channel, Admissions and Marketing teams, and Shorelight’s partner campus teams to provide an optimal enrollment experience and services leading to optimal student conversion and success.

Essential Functions
Strategic and Operational Leadership

  • Assist the Enrollment Services Director in the development and implementation of an effective Enrollment Services strategy that drives a culture of data-driven conversion efforts and concierge service across the enrollment funnel.
  • Work collaboratively with the Senior Director of Campus Enrollment Operations to identify, develop and implement enhancements & improvements within the ES function as part of the Signature Student Experience.
  • Assist with the planning, implementation, evaluation and continuous improvement of enrollment services that support the enrollment needs of students.
  • Working collaboratively with campus SSD’s and Admissions Directors to manage day-to-day service operations, promoting continuous training to the Enrollment Services advisors and effectively managing workflow as determined by enrollment cycles.
  • Assist with the monitoring and reporting of enrollment conversion progress, pipeline growth, campaign outcomes and other indicators of enrollment trends within the Shorelight portfolio.

Student/Stakeholder Engagement

  • Working closely with campus SSD’s and Admissions Directors – design, manage and help to facilitate a series of engaging and informative pre-departure webinars and events.
  • Design and manage a series of engaging and informative post-confirmation conversion campaigns and events in collaboration with campus teams and marketing.

Knowledge management & Training

  • Work collaboratively with others to support the build out of the Enrollment Services knowledge base that enables the scale growth of enrollment services in multiple languages and multiple regions, leveraging a single-source operation “playbook” for admissions to campus arrival.
  • Develop, enhance and carry out continuous immigration and visa preparation training amongst the enrollment services team and other stakeholders / selected channel partners.
  • Stay current on the industry, Shorelight’s products/services, competition, and trends – managing a small caseload each intake.

Technology management

  • Work in close collaboration with the Senior Director of Campus Enrollment Operations and Engineering to examine, evaluate and make recommendations for technical innovations and tech-based services required to enhance service delivery, workflow and scalability.
  • Maintain a data-driven approach to conversion, monitoring enrollment trends and using technology systems to refine processes and manage melt.

People Management

  • Recruit, develop, and retain team members to ensure productivity and engagement.

  • Engage in talent management activities such as goal setting, performance evaluations, stay interviews, development planning, and ongoing feedback to develop team members and achieve organization goals

Minimum Qualifications

  • Bachelor’s degree
  • 5+ years of experience with international student transcript evaluation
  • 3+ years of leadership and management experience of a growing admissions team
  • Experience with student data management and/or application systems, including Banner, Salesforce, Synapsis, or other related CRM systems
  • Knowledge of international student services within a higher education setting
  • Demonstrated excellence in managing projects and leading process
  • Ability to collaborate with stakeholders from local, national, and international constituencies
  • Eligibility to work in and travel in and out of the United States without sponsorship

Preferred Qualifications

  • Master’s degree in international education–related field
  • 5+ years of experience in international admissions–graduate admissions
  • Experience living in another cultural context and/or fluency in a second language
  • Enthusiasm for working with international students and the professionals who serve them
  • Ability to foster collaboration and trust, work collegially, and inspire others to high levels of performance
