Job Overview

The Director, Admissions manages all student admissions at Ole Miss International. Reporting to the Managing Director of Ole Miss International and with a secondary reporting to the Director of Campus Admissions Operations in Shorelight’s Central Admissions office, the Director of Admissions serves as the primary liaison with the University of Mississippi Admissions teams and International Student and Scholar Services office.  The Director supervises a team of admissions staff in the Ole Miss International office and hiring of temps as needed. The Director must be a self-directed individual with demonstrated history of effective leadership. S/he must show excellence in problem-solving, verbal and written communication, as well as a strong attention to detail.

Key Responsibilities

  • Serve as primary advocate for Shorelight’s mission by working with field experts to identify opportunities to improve and execute on core values of the SL Admissions team: Access, Service, Speed, Transparency, Objectivity, and Calibrated Local Assessment
  • In concert with University admissions operations, coordinate all aspects of the application flow for Ole Miss International applicants with a keen eye to streamlining process
  • Monitor and uphold service agreements (turnaround time) for all applicant profiles, including graduate, sponsored, and I-20 transfer students, as applicable
  • Responsible for ensuring consistent quality of applications being delivered to university audience, including regular tracking, forecast and analysis.
  • Serve as primary relationship manager of critical university personnel including, but not limited to VP of Enrollment Management, Graduate Admissions Directors/Assistant Deans, Primary Designated School Official, in addition to supporting partnership relationships with the other key stakeholders in the enrollment process across the university
  • Serve as primary relationship manager to all graduate department chairs running a Masters Accelerator Program (MAP) program
  • Responsible for chairing the Enrollment Services Committee (ESC), maintaining a regular cadence of ESC meetings at the undergraduate and graduate levels, and communicating updates to the partnership Steering Committee and the wider Shorelight audience
  • Oversee new application case escalation to the appropriate academic or faculty personnel
  • Serve as Admissions lead and relationship manager on new program development, including development of admissions criteria, processes and implementation
  • Lead bi-annual evaluation of Localized Entry Requirements (LERs), acceptable credentials, and application throughput with the intention of optimizing existing processes at the partnership level
  • Develop, document, and communicate local campus policies related to admissions and enrollment management
  • Coordinate data and file transfer into the university Student Information System (SIS)
  • Work with university IT and Engineering personnel to improve systems integration
  • Coordinate communications with Shorelight representatives and agents post application deposit
  • Oversee I-20 packaging and delivery including management of Ole Miss International admissions staff and/or student workers involved in the process
  • Other duties as directed by the Managing Director and the Shorelight Director of Campus Admissions Operations

Minimum Qualifications

  • 5+ years of experience with international student transcript evaluation
  • Experience leading and managing an effective admissions team
  • Experience with student data management and/or application systems, including Banner, Salesforce, Synapsis, or other related CRM systems
  • Knowledge of international student services within a higher education setting
  • Demonstrated excellence in project management and leading process
  • Demonstrated knowledge of international student transcript evaluation
  • Ability to collaborate with stakeholders from local, national, and international constituencies
  • Eligibility to work in the US without sponsorship

Preferred Qualifications

  • Master’s degree in international education-related field preferred
  • 5+ years of experience in international admissions-graduate admissions strongly preferred
  • Experience living in another cultural context and/or fluency in a second language preferred
  • Enthusiasm for working with international students and the professionals who serve them
  • Ability to foster collaboration and trust, work collegially, and inspire others to high levels of performance

Campus Fiscal Operations

  • Assume overall P&L responsibility,including budget management

Essential Functions

Office Management

  • Oversee consistent delivery of high level of customer service for students, colleagues, and visitors, creating a welcoming office environment for all
  • Supervise reception desk workers, if applicable
  • Maintain organization of public office spaces, operation of office equipment, and overall efficiency of office operations
  • Serve as the primary contact to staff and building management for facilities-related requests
  • Purchase office supplies and maintain general upkeep of supply area
  • Coordinate scheduling of department and team meetings
  • Sort and distribute daily mail and packages to staff members
  • Contribute to ongoing group activities, processes, and special projects, as needed

Finance and Accounting Administrative Support

  • Serve as the campus point of contact for students and others on billing and payment issues

  • Collaborate with Finance on all student-facing initiatives, such as collecting payments and updating monthly A/R aging file
  • Prepare and submit sponsor billing
  • Generate statement of fees for students on campus as requested

  • Participate in annual PriceBook update and assist with yearly financial audit

HR Administrative Support

  • Partner with Human Resources to deliver and oversee onboarding for new team members
  • Ensure that each new team member completes all required new hire documentation
  • Manage full cycle recruiting and onboarding for temporary positions, including new hire paperwork and background checks
  • Collect and track paid time off requests

Minimum Qualifications

  • Bachelor’s degree in a business-related field
  • Proficiency with Microsoft Office Suite, primarily Excel

  • 1+ years of office management experience
  • 1-3 years of experience in finance or accounting

  • Conduct one-on-one progress and coaching sessions
  • Work to continuously improve the Career Accelerator program experience

Collaboration

  • Liaise with all areas of the USC Career Center to include career development, experiential education, employer relations, and operations, ensuring that existing services are leveraged and integrated

    • Conduct career exploration and experiential education activities such as job shadowing, externships, etc.
    • Track participation of and contact with students and share relevant data with the Career Services team

Program Implementation

  • Manage Career Accelerator program materials including but not limited to:
    • Salesforce student profiles
    • Advising forms and progression trackers
    • Appointment and workshop attendance
  • Collaborate with Career Accelerator Program Manager, recommending additional workshops, presentations and tools that might enhance the student experience and learning journey
  • Connect and maintain open channels of communication with campus leadership teams, key university-partner staff, and Shorelight Education colleagues
  • Lead information sessions and opt-in processing for the Career Accelerator program,
  • Ensure student preparedness for participation in career planning and major decision making

Minimum Qualifications

  • Bachelor’s Degree with educational preparation in education, counseling, human resources, cross-cultural psychology, global studies, or related area
  • One year of teaching, training, or group facilitation experience
  • Experience working with international students and ability to exhibit cross-cultural awareness and understanding

The Associate Student Services Director (ASSD) supports all aspects of student services for the international students enrolled in UOP International, San Francisco programs and reports to the Student Services Director (SSD). This skilled team player successfully implements support services catered to international students. The ASSD is an experienced manager with an innovative approach to analysis, data-driven decision making, and problem-solving. Essential Functions  

 

Student Services

  • Lead the Student Services Operations in San Francisco, prioritizing a focus on student retention and programs that guide, prepare, and motivate students toward degree completion
  • Lead the Student Serives team in delivering key service components of the student experience, including student ancillary services such as pre-arrival communication, arrival support services such as airport transfers, orientation programming, on-going student services support, events calendar, coordination with university cultural associations, coordination of a student ambassador program and peer advising infrastructure, progression, matriculation, and the overall student experience
  • Handle special student cases, including students experiencing significant personal and academic difficulties  
  • At all times, deliver exceptional customer service as part of the Signature Student Experiences; lead on and off-campus events (where applicable)
  • Teach first-year and/or professional development seminar course (if applicable)
  • Providing 24-hour on call support through the student-facing hotline

 

People Management

Job Overview 

The Admissions Officer assists with the admissions of international students for both Direct and  International Accelerator Programs (IAP). Reporting to the Director of Admissions, the Admissions Officer possesses a high degree of self-direction, strong attention to detail, and excellent problem-solving skills. He or she demonstrates outstanding interpersonal skills and cultural sensitivity toward students and staff from a diverse range of backgrounds.

 

Essential Functions

Admissions Data Management & Integrity

  • Process applications and documents and forward them to university partners via integration tools
  • Assist in reviewing applications, transcripts, and other documents required for international student admissions 
  • Review daily reports to manage and maintain the processing of applications and offers are meeting required deadlines
  • Coordinate I-20 process with partner university admissions staff
  • Prepare acceptance packet mailings
  • Develop and run data reports for routine reporting to relevant stakeholders
  • Liaise with student services staff to gather student feedback, keep Salesforce Customer Relationship Management (CRM) updated and share student accomplishments with market-facing staff and recruiters
  • Other duties as assigned

Administrative Support

  • Support the Academic and Student Services Directors by assisting with pre-arrival processes and documentation, including partner and student inquiries
  • Review and coordinate mail and documentation on a daily basis
  • Respond to e-mail and phone inquiries
  • Assist with webinars for future students
  • Process requests for information packets and prepare mailings to prospective students
  • Participate in weekly staff meetings 

 

Minimum Qualifications  

  • Bachelor’s degree in higher education, international education, or related field
  • 1+ years Admissions experience, including working knowledge of university admissions processes
  • Knowledge of international student services within a higher education setting
  • Proven ability to establish and maintain positive working relationships with key stakeholders to facilitate and accomplish work goals 
  • Demonstrated ability to complete projects in a timely manner
  • Eligibility to work in and travel freely to and from the United States without sponsorship

 

Preferred Qualifications 

  • Expertise with Microsoft Office programs
  • Experience with Banner and/or Salesforce
  • Strong working knowledge of PeopleSoft software
  • Strong working knowledge of one or more foreign languages
  • Ability to take initiative, perform multiple assignments, and establish short- and long-term priorities
  • Ability to demonstrate sound business acumen and meet performance targets

Job Overview

Student Services Advisors (SSAs) help develop and support student service programs for international students.Reporting to Student Services Director, SSAs are responsible for collaborating with the SSD to support students’ academic engagement, social integration, and cross-cultural development in their new academic and social environment.

The Student Service Advisor is an energetic team player who can successfully execute support services catered to international students. The primary responsibility of the SSA is to deliver high-quality cocurricular and extra curricular support experiences for program students, as well as hands-on academic support, guidance, and mentoring. The SSA has excellent customer service skills, and the ability to focus his/her attention on individual students as they are guided through the program. The SSA also possesses the interpersonal and intercultural skills necessary to work closely with students, parents, program staff, and university administration.

Essential Functions

Student Service

  • Guide, prepare and motivate students to a successful undergraduate or graduate experience and degree completion
  • Deliver exceptional student services, beginning with pre-arrival processes, airport transfers, orientation programming, on-goings student services support, and student acculturation into the university
  • Contribute to the design and delivery of services that provide a strong foundation for the student’s academic success
  • Provide mentorship, training, and coaching to support student skill development in areas including but not limited to goal setting, strategic planning, cultural competency, problem solving, and interpersonal relationships
  • Assist in the development, promotion, and implementation of programs to support student retention and socialization/acculturation; assist in the design and implementation of orientation programming
  • Teach or coach first year transitional programming as assigned

Relationship Management

  • Support key relationships at the university and at the partnership, including Academic teams, International Student Services, Campus Housing, Dining Services, Student Development & Enrollment Services, Office of Student Involvement, Office of the Registrar, and various other departments

Technology

  • Maintain accurate records and reporting for assigned cohort of students
  • Contribute to student services operations to ensure that systems and procedures are followed and technology is used to streamline systems and procedures; as relevant, assist in the creation of new processes
  • Assist with the coordination of student satisfaction surveys and associated analysis, with an eye towards improving the student experience

Minimum Qualifications

  • Bachelor’s degree
  • Ability to thrive in a fast-paced environment, take initiative, and maintain a high energy level
  • Demonstrated flexibility and interpersonal communication skills
  • Problem-solving, decision-making, and creative-thinking abilities
  • Excellent organizational skills and strong attention to detail
  • Proven customer service skills
  • Ability to work evening and weekend hours as needed
  • Eligibility to work in and travel freely to and from the United States without sponsorship

Preferred Qualifications

  • Master’s degree
  • Experience in higher education advising, student services, or hospitality
  • Experience working with international students or customers in an administrative or academic capacity desired
  • Experience planning and organizing events
  • Experience working successfully with non-native English speakers
  • Knowledge of Spanish, Mandarin, Arabic or Hindi is preferred
