Job Overview

The Assistant Academic Operations Director (“Asst. AOD”) assists the Managing Director in managing the academic operations of the Gonzaga Global program. This individual helps ensure the delivery of a high-quality academic experience for all students in the program through strategic student data management and pro-active academic intervention.  The Asst. AOD supports and guides program students by organizing effective student resources in areas of academic English, tutoring services, and academic support for content courses. The Assist. AOD also helps collect and track student academic performance data and works closely with the campus team and other stakeholders to support academic operational best practices. This role reports to the Managing Director.

 

The Asst. AOD is a skilled academic manager who provides a high level of customer service to all stakeholders and possesses the interpersonal skills to work closely with a range of administrators, students, and faculty.  He/She/They is comfortable multitasking, adjusts quickly to shifting priorities, and has a strong attention to detail.  The Asst. AOD shows excellence in problem solving and demonstrates tact and patience, particularly with non-native English speakers. Exceptional oral and written communication are critical.

 

Essential Functions

Academic Program Support

  • Assist in managing academic program logistics, including timetabling, resource preparation, and classroom allocation
  • Oversee and assist with day-to-day academic operations of the program, providing hands-on academic and acculturation student support
  • Manage academic operations (as per guidelines of the Managing Director), including ensuring established systems and procedures are followed and accurate records and reports on the program are maintained
  • Assist with maintaining program quality standards and ensure continuous evaluation and improvement of the program
  • Represent the program at academic events, during familiarization tours, and through memberships and affiliations, as appropriate
  • Adhere to university policies regarding academic integrity and related university academic policies

 

Student Progression and Retention

  • Monitor student retention processes and develop/promote policies for the program, utilizing Salesforce and other data management tools
  • Analyze data and report on the progress and satisfaction of the students’ achievement of objectives, including progression through the program and degree completion at the university

 

Data Integrity

  • Maintain up-to-date and accurate records in Salesforce to track enrollment, program completion, progression, program changes, Y2-4 engagement, and graduation rates
  • Assist in the collection of academic, financial and career data and for campus reports in alignment with the academic reporting calendar
  • Participate in data analysis (program and demographic) to inform improved campus practices and student success strategy

 

Relationship Management

  • Partner with the Managing Director and Student Services team to liaise with key offices at the university
  • Support academic committees and other partners related to the matriculation and onboarding of new students initially, through the Gonzaga Global program, and into university degree programs

 

Minimum Qualifications

  • Master’s degree
  • 3+ years’ experience in either higher education, IEP/ language school management, TEFL/TESOL, or related field
  • 2+ years of teaching experience at the university level
  • Experience working with international students in a higher education setting
  • Demonstrated understanding of class management tools, including databases, Microsoft Office programs, course management systems, and forms of media to support an interactive and student-centered classroom instruction
  • Eligibility to work and travel in the United States without sponsorship

 

Preferred Qualifications

  • Experience working within an educational collaboration and/or a complex organization
  • Experience working with data analytical software such as Tableau and/or CRM systems such as Salesforce
  • Proficiency in Microsoft Excel
  • Experience living or working overseas
  • Academic advising experience
